Somewhere in your building — probably a closet, possibly behind the water heater — lives a beige box that has run your phones since a different president was in office. It has served honorably. It also has an expiration date, and unlike milk, it won’t tell you when.
The five warning signs
1. Nobody makes the parts anymore. When a handset dies or a line card fails, replacements come from eBay, salvage dealers, or prayer. If your last repair involved the phrase “we found one online,” you’re living on borrowed inventory.
2. Only one person knows how to fix it — and they’re retiring. The technicians who installed these systems are leaving the trade faster than the systems are leaving service. Every year the pool of people who can service yours shrinks, and their hourly rate climbs accordingly.
3. Changes require a service call. New employee? New greeting? Holiday hours? If every small change means scheduling a visit and paying for a truck roll, you’re paying subscription prices for hardware-store flexibility.
4. It’s tied to lines that are going away. Most key systems ride on the analog copper lines carriers are actively retiring as part of the nationwide POTS phase-out. Even a healthy key system loses when its lines are on hospice care.
5. It can’t do what your customers now expect. Voicemail that emails you. Calls that follow you to your cell. A greeting with options instead of endless ringing. None of that is exotic anymore — except to a system built before smartphones existed.
The good news: the replacement math favors you
Here’s what surprises most owners: replacing a key system with hosted VoIP is usually cheaper per month than what you’re paying now for the old lines, and the phones arrive pre-configured with free installation. Your number stays. Your staff picks up the same way they always have — the phone just does more.
The Radvox way: we’ll assess your current system honestly, for free. If your key system genuinely has healthy years left, we’ll tell you — and tell you what to watch for. That’s what phone guys are for.
Don’t wait for the beige box to make the decision for you on a Monday morning. A planned switch is calm; an emergency switch is expensive.
