Radvox ("Radvox," "we," "us," or "our") provides hosted VoIP phone service, business text messaging, virtual fax, and related communications services to businesses. This Privacy Policy explains what information we collect, how we collect and use it, what we share, and how we protect it. It applies to our website (radvox.com), our customer portal, and the services we provide to our customers.
1. Information We Collect
Depending on how you interact with Radvox, we may collect:
- Contact information — such as your name, company name, email address, phone number, and mailing address when you request a quote, contact us, or become a customer.
- Account and billing information — such as service plans, account credentials for our customer portal, billing address, and payment records. Card payments are processed by our payment processor; Radvox does not store full payment card numbers.
- Service and usage information — such as call detail records (numbers dialed, date, time, and duration), voicemail, fax transmission records, and text messaging records generated in the ordinary course of providing telecommunications service.
- Text messaging opt-in data — records of consent when individuals opt in to receive text messages.
- Website information — such as pages visited, browser type, device information, and IP address, collected through standard web technologies and cookies, and information you submit through our website forms or chat.
2. How We Collect and/or Obtain Information
- Directly from you — when you fill out a form, contact us by phone, email, chat, or text, create an account, or purchase services.
- Automatically through use of our services — call, text, and fax records are generated when you use your Radvox service, and standard technical information is collected when you visit our website.
- From service providers — such as carriers and technology partners we use to deliver telecommunications services, and analytics providers for our website.
3. How We Use Information
- To provide, maintain, and support our services, including routing calls, delivering messages and faxes, and operating the customer portal.
- To set up and manage accounts, process orders, and handle billing.
- To respond to inquiries, provide customer support and training, and send service-related notices.
- To comply with legal, regulatory, and industry requirements, including E911, STIR/SHAKEN, and text messaging (10DLC) registration requirements.
- To improve our website and services and to protect against fraud, abuse, and unlawful use.
4. Information We Share
We share information only as needed to operate our business and provide our services:
- Service providers and carriers — vendors that help us deliver telecommunications services, host our systems, process payments, or provide support, under obligations to protect your information.
- Legal requirements — when required by law, regulation, court order, or lawful request, or to protect the rights, safety, and property of Radvox, our customers, or others.
- Business transfers — in connection with a merger, acquisition, or sale of assets, subject to this policy's protections.
We do not sell your personal information.
No phone/mobile number information will be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
5. Information Security and Data Retention
We use administrative, technical, and physical safeguards designed to protect your information, including encrypted connections, access controls, and geo-redundant infrastructure. No method of transmission or storage is completely secure, but we work to protect your information in line with industry standards, including HIPAA-compliant service options where applicable.
We retain information for as long as needed to provide services, meet legal, regulatory, tax, and accounting requirements, resolve disputes, and enforce agreements. When information is no longer needed, we securely delete or de-identify it.
6. Text Messaging (SMS) Terms
- Consent to receive text messages is obtained before messaging begins, and message frequency varies by use.
- Message and data rates may apply.
- You can opt out at any time by replying STOP, and reply HELP for help.
- Text messaging originator opt-in data and consent will not be shared with any third parties.
7. Your Choices
You may contact us at any time to access, update, or correct your account information, or to ask questions about this policy. You can opt out of marketing emails using the unsubscribe link in those messages, and opt out of text messages by replying STOP.
